Administrative Assistant IV - Forensic Unit

Reports to: Office Manager/Administrative Supervisor

Salary: $57,811

Division/Unit: Forensic Unit

Primary Function:

Provide administrative support to the Assistant State’s Attorneys, and Scientists assigned to the Forensics Unit.

Working Environment: Hours: Monday – Friday 8:30 a.m. to 4:30 p.m.

Physical Requirements:

Light Work: The position requires the ability to stand or walk frequently, often for extended periods. You may need to lift, carry, push, or pull objects weighing up to 20 pounds regularly, and occasionally heavier items. The job may also involve a significant amount of walking or standing relative to sedentary roles.

Duties and Responsibilities:

  • Administrative tasks regarding the DNA Assignment Grid as necessary such as following up on evidence transfer, buccal swab scheduling, and consumption status Responsible for ISP notifications where necessary such as consumption notifications, consistent profile notifications, and linked report notifications and update all related internal spreadsheets
  • Communicate with appropriate law enforcement agencies to ensure compliance with the Criminal Sexual Assault Kit Notification obligations
  • Facilitate attorney contact information for ISP and ISP contact information for ASAs as necessary
  • Assist all ASAs in the Forensics Unit in preparing courtroom documents, subpoenas, and document requests
  • Xerox, scan, copy and distribute memos
  • Prepare correspondence as needed
  • Assist with Steno work and scheduling for all ASAs in the Forensics Unit when needed.
  • Run backgrounds as necessary.
  • Relieve Receptionist as needed.
  • Maintain confidentiality of information and systems.
  • Interact with State’s Attorney’s Office employees and personnel of outside agencies.
  • Perform additional duties and responsibilities as assigned.

Qualifications:

Required:

  • The candidate must have excellent verbal and written communication skills, excellent organizational skills and the ability to multi-task.
  • Proficiency in Microsoft Office applications required.
  • Working knowledge of SharePoint and CRIMES

Preferred:

  • Working knowledge of Leads, PROMIS, and I-Clear.
  • Typing speed of 50+wpm.
