Administrative Assistant III - Skokie Courthouse

Position Details

Job Title: Administrative Assistant III (#439)

Reports to: Supervising Assistant State’s Attorney

Level: Entry/Union/Full-Time

Salary: $54,920

Grade/Step: 13

Location: Skokie Courthouse/5600 Old Orchard Rd

Bureau: Administrative Services

Primary Functions: Provide administrative support to the Assistant State’s Attorneys assigned to the Skokie Courthouse.

Working Environment: Hours: Monday – Friday 8:30 a.m. to 4:30 p.m.

Physical Requirements:

Light Work: The position requires the ability to stand or walk frequently, often for extended periods. You may need to lift, carry, push, or pull objects weighing up to 20 pounds regularly, and occasionally heavier items. The job may also involve a significant amount of walking or standing relative to sedentary roles.

Duties and Responsibilities:

  • Type subpoenas, motions, answers, and pen letters
  • Create various types of case files and other correspondence as required.
  • Enter new and update case information in CRIMES database.
  • Maintain statistics and provide monthly reports of district cases.
  • Run criminal background checks/run report in LEADS 2000, I-Clear and CRIMES database.
  • Utilize LEADS to conduct background checks for court proceedings, jury lists, bonds, recidivous, and expungements.
  • Distribute mail, copy, scan, and email.
  • File all paperwork and disposition of case files.
  • Maintain disposed case file Excel spreadsheets in SharePoint.
  • Answer phones and assist walk-ins.
  • Prepare and maintain police department subpoena/court order requests and outside entity returns for Grand Jury
  • Interacts with outside partner agencies.
  • Perform other duties as assigned.

Qualifications:

Required:

  • The candidate must have excellent communication and organizational skills, and have the ability to multi-task
  • Proficiency in Microsoft Word applications

Preferred:

  • Working knowledge of CRIMES, NICE, and SharePoint
  • Typing speed of 40+wpm
