Primary Function:

Under the supervision of the Director of Purchasing, performs a variety of duties related to procurement procedures as mandated by federal regulations and the Cook County procurement department. The purchasing Assistant will be responsible for and assist with a multitude of projects, including preparing requisitions, purchase orders and processing invoices. The purchasing assistant will maintain vendor records used by the SAO and request new vendor set-ups, have a working knowledge of the regulations and ordinances of the Office of Procurement for Cook County, and assist the Director of purchasing with the CCSAO Fleet team to maintain parking information, coordinate maintenance and to other fleet related matters that come up with the office vehicles. May perform other duties as assigned.

Working Environment:

Monday – Friday, 8:30 am – 4:30 pm

Physical Requirements:

(a) Sedentary work. Sedentary work involves lifting no more than 10 pounds at a time and occasionally lifting or carrying articles like docket files, ledgers, and small tools. Although a sedentary job is defined as one which involves sitting, a certain amount of walking and standing is often necessary in carrying out job duties. Jobs are sedentary if walking and standing are required occasionally and other sedentary criteria are met.

Duties/Responsibilities:

  • Prepare requisitions, purchase orders and process invoices
  • Verify payment status on invoices
  • Maintain vendor records used by the SAO and request new vendor set-ups
  • Have working knowledge of the regulations and ordinances of the Office of Procurement for Cook County
  • Coordinate order deliveries.
  • Have a working knowledge of the Cook County travel and business expense policy
  • Designated point of contact for downtown area office pool cars.
  • Works with CCSAO Fleet team to maintain parking information, coordinate maintenance and to other fleet related matters that come up with the office vehicles
  • Ability to interact with State’s Attorney’s Office employees, other Cook County agencies, and outside agencies and vendors.
  • Perform other duties as assigned

Qualifications

Required:

  • High school diploma or G.E.D is required.
  • Two (2) years of public sector purchasing-related experience required.
  • Proficiency in Microsoft Office applications and Oracle EBS or equivalent enterprise accounting and processing system required.
  • Ability to multitask and prioritize under pressure in a fast-paced environment
  • Exceptional organizational skills
  • Excellent written, oral and presentation skills necessary to communicate and work effectively with upper-level management and executive team members

Preferred:

  • Bachelor’s degree in business is preferred.
